Job Description

Operations Coordinator in the Exhibition Event Industry is a critical role involving the planning, coordination, and successful execution of exhibitions and events. This role requires a keen eye for detail, exceptional organizational skills, and the ability to work under pressure in a fast-paced environment. The Operations Coordinator will be responsible for managing various operational aspects, ensuring smooth logistics and successful event execution. They will liaise with vendors, manage schedules, and balance multiple priorities to achieve a seamless event experience for all stakeholders. This role requires excellent communication skills to work collaboratively with different teams and stakeholders, while maintaining a focus on delivering outstanding customer service. The ideal candidate should possess strong problem-solving abilities, with an aptitude for adapting to changing circumstances and handling unforeseen challenges with ease.


Responsibilities

  • Coordinate all logistical details to ensure smooth event operations.
  • Communicate with vendors and suppliers to finalize service arrangements.
  • Oversee the set-up, execution, and breakdown of exhibition events.
  • Develop and implement operational plans with detailed timelines and schedules.
  • Monitor compliance with health, safety, and legal regulations for events.
  • Maintain strong relationships with exhibitors, sponsors, and attendees.
  • Collaborate with marketing teams to ensure brand consistency at events.
  • Manage on-site operations, including staffing and client support activities.
  • Prepare operational reports to assess and improve event processes.
  • Coordinate with the finance team on budget and expense tracking.
  • Handle any operational issues or emergencies with quick resolutions.
  • Ensure exceptional guest experience by managing expectations and feedback.


Requirements

  • Bachelor's degree in Events Management, Hospitality, or related field preferred.
  • Minimum of 3 years experience in event or exhibition coordination.
  • Strong organizational skills with attention to detail and multitasking ability.
  • Excellent communication and interpersonal skills required for client interaction.
  • Proven ability to work under pressure with tight deadlines and budgets.
  • Familiarity with event management software and technology tools is preferred.
  • Ability to travel and work flexible hours, including weekends as needed.
