A Tenant Coordination Manager plays a crucial role in facilitating successful collaborations between landlords and tenants, ensuring that all parties’ expectations and requirements are met. This position usually exists in property management firms or large leasing companies and is vital in managing the relationship dynamics within commercial properties, shopping centers, or large residential complexes. As a Tenant Coordination Manager, you will be responsible for overseeing lease administration, tenant improvements, and construction activities. You will act as the lead liaison between prospective or current tenants and property developers, ensuring smooth, on-time delivery of tenant spaces. The role demands exceptional organizational, communication, and negotiation skills, as well as a strong understanding of leasing contracts, construction processes, and excellent customer service. You will frequently interact with a variety of stakeholders, which requires diplomacy and an ability to navigate complex negotiations effectively.


Responsibilities

  • Coordinate with leasing agents and tenants to ensure timely lease execution.
  • Oversee and manage tenant construction projects from start to finish.
  • Facilitate communication and problem-solving between tenants and landlords.
  • Ensure tenant spaces are delivered in accordance with lease agreements and specifications.
  • Monitor compliance with building plans, specifications, and schedules.
  • Assist in preparing budgets and cost estimates for tenant improvements.
  • Develop and maintain relationships with contractors, vendors, and tenants.
  • Ensure timely and efficient resolution of tenant setup issues and concerns.
  • Review and negotiate tenant work letters, lease documents, and construction plans.
  • Provide expert advice on best practices in tenant coordination and construction management.
  • Track progress of build-outs and report regularly to senior management.
  • Support lease recovery efforts, ensuring adherence to financial commitments and deadlines.

Requirements

  • Bachelor’s degree in Business, Real Estate, or a related field is preferred.
  • Proven experience in property management or construction coordination required.
  • Strong understanding of commercial lease agreements and negotiation tactics.
  • Excellent oral and written communication skills necessary for stakeholder interaction.
  • Proficiency in project management software and relevant computer applications.
  • Ability to handle multiple projects simultaneously and meet tight deadlines.
  • Exceptional organizational skills with attention to detail and problem-solving ability.
