Job Description

The Front Desk Representative is the first point of contact for our esteemed guests and clients, playing a crucial role in delivering an exceptional guest experience. Your primary responsibility is to ensure that all guests are greeted with warmth and provided with efficient services at the front desk. In this role, you will handle inquiries both in person and over the phone, manage reservations, and provide pertinent information about the organization. An ideal candidate possesses excellent communication skills, is detail-oriented, and has a knack for problem-solving. This position demands a high level of professionalism, reliability, and a customer-centric approach, ensuring that all front desk operations run smoothly.


Responsibilities

  • Warmly welcome and assist guests as they arrive at the front desk.
  • Efficiently manage the check-in and check-out process for all guests.
  • Answer phone calls promptly, offering accurate information and assistance.
  • Maintain detailed and accurate records of guest reservations and cancellations.
  • Address guests’ inquiries and concerns with professionalism and tact.
  • Coordinate with housekeeping and maintenance teams for guest service requests.
  • Ensure the reception area is clean, organized, and welcoming at all times.
  • Uphold confidentiality of information and adhere to company policies and procedures.
  • Collect payments and process transactions using the company's payment systems.
  • Provide concierge services by directing guests to local attractions and services.
  • Resolve guest complaints promptly and escalate issues to management if needed.
  • Regularly update the management about feedback and any ongoing operational issues.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven experience in a customer service role, preferably at a front desk.
  • Exceptional verbal and written communication skills are required.
  • Proficiency in using office software and familiarity with booking systems.
  • Strong organizational skills and the ability to multitask effectively.
  • Ability to remain calm and professional in a busy environment.
  • Flexibility to work in shifts, including weekends and holidays.
