Job Description

The Front Desk Officer/Receptionist plays a crucial role in maintaining the first impression that a company projects to its clients, customers, and visitors. As the first point of contact, the Front Desk Officer is responsible for managing the reception area efficiently, offering friendly and professional service to all visitors and handling a variety of administrative tasks to support the overall functioning of the office environment. This position requires excellent communication skills, the ability to multitask, and a dedication to customer service. The successful candidate will demonstrate a welcoming demeanor, strong organizational skills, and a proactive approach to completing daily tasks while also supporting the office staff and management team. In this role, you will be the face and voice of the company, whether in person or over the phone, providing essential services that bridge visitors to the company’s internal team.


Responsibilities

  • Greet all visitors warmly and direct them efficiently to appropriate persons.
  • Answer, screen, and forward incoming phone calls while addressing inquiries.
  • Maintain the reception area, ensuring it is always clean, tidy, and presentable.
  • Assist in scheduling and coordinating meetings, appointments, and conference calls.
  • Receive and distribute daily mail and deliveries to the correct departments.
  • Provide basic and accurate information in-person and via phone/email.
  • Monitor and control access to the building by issuing visitor badges.
  • Assist with data entry, filing, and maintaining contact directories.
  • Ensure the office supplies are stocked and reorder inventory as necessary.
  • Coordinate with other departments to ensure a unified front office experience.
  • Support office management tasks as directed, preparing documents and reports.
  • Handle emergencies and report any security issues to the appropriate personnel.

Requirements

  • High school diploma or equivalent required; associates degree preferred.
  • Proven work experience as a Receptionist or in a similar role.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in Microsoft Office Suite and other basic computer applications.
  • Strong organizational skills with the ability to multitask effectively.
  • Professional attitude and appearance, with a customer service focus.
  • Ability to work under pressure and handle a fast-paced environment.
