Job Description

The Executive Assistant to the CEO is a pivotal role within the organization, offering comprehensive administrative support to the Chief Executive Officer. This position requires a highly organized, proactive, and experienced professional capable of managing a wide array of executive support tasks with the ability to work independently while handling multiple projects. As the Executive Assistant, you are the primary point of contact and communication link between the CEO and both internal and external stakeholders. You will be responsible for maintaining the CEO’s schedule, managing travel arrangements, handling correspondence, and coordinating meetings. The ideal candidate must possess exceptional communication skills, the ability to maintain confidentiality, and the capacity to contribute to an efficient work environment while promoting organizational success.


Responsibilities

  • Coordinate and manage the CEO’s schedule and ensure timely appointments.
  • Organize and prepare meetings by assembling crucial materials and documents.
  • Handle all aspects of travel management, including booking flights, hotels, and transport.
  • Screen and direct phone calls, emails, and written correspondence for the CEO.
  • Act as a liaison between the CEO and staff, board members, and other stakeholders.
  • Draft, review, and edit documents, reports, and presentations for the CEO’s use.
  • Maintain confidentiality of all sensitive information regarding the organization.
  • Assist the CEO with the prioritization of tasks and follow-up on pending actions.
  • Ensure effective communication flows between the CEO and external partners or clients.
  • Manage special projects as assigned by the CEO to support organizational goals.
  • Enhance communication strategies by updating and managing CEO’s online profiles.

Requirements

  • Bachelor’s degree in Business Administration or another relevant field preferred.
  • Minimum of five years of experience as an Executive Assistant or similar role.
  • Exceptional organizational skills and ability to multitask under pressure.
  • Proven experience organizing and managing complex projects and schedules.
  • Strong understanding of office management systems and procedures.
  • Excellent communication skills, both verbal and written, are mandatory.
  • Proficiency in Microsoft Office Suite and other relevant office software.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
