Job Description

As an Executive Assistant to the CEO, you will play a vital role in ensuring the smooth operation of the executive office, facilitating the CEO's ability to efficiently lead and manage organizational activities. This position requires the ability to manage a broad spectrum of tasks with professionalism and discretion, ranging from calendar coordination to high-level project management. You will be a gatekeeper and a trusted confidante, proficient in handling sensitive information and acting as a key liaison among the executive team, board members, and other stakeholders. Your role is to not only assist but also to anticipate the needs of the CEO, allowing them to focus on strategic priorities. By leveraging your exceptional organizational and communication skills, you will contribute significantly to the executive office's success and, by extension, the broader objectives of the organization.


Responsibilities

  • Manage the CEO's schedule and coordinate meetings, events, and travel arrangements efficiently.
  • Prepare and review documents, reports, and presentations for executive-level meetings and decisions.
  • Serve as a liaison between the CEO and internal or external stakeholders to foster effective communication.
  • Handle all correspondence, including phone calls, emails, and mail, ensuring timely and accurate responses.
  • Assist in maintaining a well-organized filing and retrieval system for important documents and records.
  • Conduct research and compile data to support strategic decision-making and project initiatives.
  • Coordinate and manage special projects assigned by the CEO, ensuring timely completion and success.
  • Oversee the planning and execution of company events and executive offsite meetings as required.
  • Ensure confidentiality and security of information pertaining to the organization and executive team.
  • Provide administrative support during board meetings, including agenda preparation and minute-taking.
  • Assist in developing and monitoring budgets related to department or executive-led projects.
  • Maintain and develop office procedures and policies to enhance organizational efficiency.

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 5 years experience supporting high-level executives in a dynamic environment.
  • Exceptional calendar management skills, including the coordination of complex meetings.
  • Proficient in Microsoft Office Suite, with emphasis on Word, Excel, and PowerPoint skills.
  • Excellent verbal and written communication abilities, with strong interpersonal skills.
  • High level of organizational skill and ability to multitask with shifting priorities.
  • Proven discretion in handling confidential and sensitive company information.
