Job Description

The Document Controller plays a pivotal role in managing, organizing, and securing an organization's documents, ensuring all company documentation is maintained in a systematic and orderly manner. This position is essential in ensuring that documents are easily accessible and that document management processes meet legal and compliance requirements. The Document Controller will be responsible for implementing and managing document control systems to ensure that all business-critical documents are accurately captured, stored, and available for access by authorized personnel. This role requires a keen eye for detail, strong organizational skills, and proficiency in document management software.


Responsibilities

  • Develop and implement document control procedures and policies for the organization.
  • Ensure all company documents are kept up to date in accordance with regulations.
  • Manage the distribution of documents to an authorized audience, ensuring accuracy and security.
  • Maintain and update records of document statuses, versions, and revisions consistently.
  • Train staff on document control processes and document management software usage.
  • Collaborate closely with project managers to ensure project documents meet standards.
  • Conduct regular audits of document systems to ensure compliance with standards.
  • Coordinate with IT for the maintenance and upgrade of document management systems.
  • Address and resolve any issues related to document discrepancies accurately and promptly.
  • Prepare reports on document processes and compliance for senior management review.
  • Ensure all document logs are maintained and archived according to company policy.
  • Assist in the digitization and minimization of physical document usage across departments.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related field.
  • Proven experience in document control or management within a corporate setting.
  • Proficiency in using document management software and Microsoft Office Suite applications.
  • Strong organizational skills with meticulous attention to detail and accuracy.
  • Excellent communication skills, both verbal and written for effective document workflows.
  • Ability to train and educate team members on document control processes and systems.
  • Familiarity with data protection regulations and document management best practices.
