Job Description

A Document Controller is an integral part of any organization that manages the creation, review, distribution, and maintenance of documents. This critical role ensures that all vital information is appropriately filed and accessible, helping to maintain organizational efficiency and compliance with industry regulations. A Document Controller works across various departments within a company, ensuring that document control standards are consistently adhered to and that discrepancies are swiftly resolved. This position requires a high level of organizational skills and attention to detail, as it often involves handling sensitive and confidential information. Additionally, it is essential for a Document Controller to communicate effectively with team members and external partners to facilitate seamless operations and documentation workflows.


Responsibilities

  • Maintain document management systems and ensure all documents are easily traceable.
  • Manage the distribution of controlled documents to relevant stakeholders timely.
  • Verify the accuracy and completeness of submitted documents for compliance.
  • Coordinate document processes and functions with other departments as needed.
  • Create systems and processes for document control that enhance efficiency.
  • Collaborate with team members to ensure document control policies are followed.
  • Regularly audit document management systems to ensure regulatory compliance.
  • Provide training to staff on document control procedures and best practices.
  • Facilitate document lifecycle management and ensure proper retention and archiving.
  • Prepare and deliver regular reports on the status of document control activities.
  • Respond to requests for document retrievals from internal and external stakeholders.
  • Handle confidential and sensitive data with the utmost discretion and professionalism.

Requirements

  • Bachelor’s degree in Business Administration or relevant field preferred.
  • Proven experience as a Document Controller or in a similar role.
  • Strong attention to detail and excellent organizational skills are essential.
  • Proficiency in document management software and Microsoft Office Suite.
  • Ability to work independently and handle multiple projects simultaneously.
  • Effective communication skills for interaction with various stakeholders.
  • Knowledge of industry standards and regulations regarding document management.
