Job Description

The Document Controller 05N25 is a vital position within any organization that demands precision and acute attention to detail. The primary responsibility of a Document Controller is to manage all company documents while also ensuring their accuracy, quality, and integrity across the organization. This role is critical as it involves maintaining and organizing word documents, contracts, manuals, and other crucial files that support the organization’s operations. The Document Controller is tasked with ensuring that organization-wide document management systems are efficient, secure, and compliant with the relevant policies and standards. This position often collaborates with various departments to facilitate the proper documentation flow, ensuring that all personnel have timely access to the information they need. Moreover, a comprehensive understanding of document control processes and the ability to work with database management systems are pivotal for this role.


Responsibilities

  • Develop and maintain document control processes for the efficient management of documents.
  • Ensure all documentation is easily retrievable and aligned with current organizational needs.
  • Establish document storage solutions that are secure, organized, and easily accessible.
  • Coordinate document distribution to ensure all stakeholders have the latest versions.
  • Monitor the implementation of document control procedures and recommend process improvements.
  • Work in liaison with departments to ensure standard document formats and templates are used.
  • Maintain a comprehensive list of all incoming and outgoing documentation.
  • Ensure documents are reviewed and maintained according to organizational standards.
  • Manage periodic document audits to ensure integrity and quality of the document base.
  • Provide training to staff on document management processes and procedures.
  • Prepare reports and presentations as needed for management review.
  • Handle document control queries and resolve issues related to document management.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related field.
  • Previous experience in document management or a similar administrative role.
  • Exceptional organizational skills and attention to detail are required.
  • Proficiency in using document management software and MS Office Suite.
  • Excellent communication skills, both written and verbal, are essential.
  • Ability to work collaboratively with various departments and external stakeholders.
  • Understanding of document lifecycle, quality control, and compliance standards.
