Snack & Refreshment program

  • Together with the GSA responsible for employee snack and refreshments program
  • Prepare food for consumption, washing and cutting fruits and vegetables as necessary in accordance with local food hygiene and health & safety regulations
  • Present and refill stock of food and refreshments throughout the day
  • Ensure fridge is clean, check all open packs for hygiene, re-arrange products according to the expire dates
  • Arrange storages and keep all storage cleaned and tidy
  • Check the functionality of kitchen equipment regularly and report any problem to Office & Facility Lead
  • Stock up glasses and cups on the shelves
  • Define, maintain and manage stock of food and beverages for daily operation
  • Ensure stock is ordered (prepare order list) in collaboration with GSA
  • Receive delivery of refreshments
  • Show responsible use of resources
  • In cooperation with the Lead Coordinator WPS, Office & Facility Lead and GSA continue evolving the refreshment program, ensuring variety, and healthy nutrition. Incorporate seasonal specials including their presentation
  • Observe consumption and collect feedback to ensure employees’ preferences are met
  • Support regional initiatives around sustainability and social programs.
  • Maintain cleanliness and representative look of the whole office during business hours
  • Maintaining dishwasher, coffee & tea machine as well as water dispenser
  • Refill of kitchen consumables as well as beverage fridge

Hospitality and events

  • Ensure meeting rooms are clean, tidy and fully stocked with standard amenities at all times
  • Check if white boards are properly wiped. Check proper function of markers, replace them if necessary. Place markers and eraser neatly. Push back the chairs to the table
  • Ensure Guest’s refreshment area near the reception is full and tidy
  • Setup meeting rooms or function space for meetings and events as required in collaboration with Hospitality & Events Lead and Meeting Coordinator
  • Receive delivery of food services and catering
  • Catering preparation, serving and clearing as required and pre-booked through Meeting Coordinator, Hospitality & Events Lead and the GSA

Office services

  • Maintain and manage stock of stationery supply
  • Ensure stock is ordered on time (prepare order list) in collaboration with GSA
  • Ensure copy rooms and stationary draws are stocked and tidy
  • Cooperate with the Supplier’s Office Lead in roll out of any WPS alignment program, playbooks and other initiatives
  • In cooperation with the Supplier’s provider Office Lead and Lead Coordinator WPS continue to evolve operations standards and processes, actively drive improvements

Cooperation/Communication

  • Report any occurring failures in service delivery, miss outs, possible complaints or occurring risks to the TFM provider Operations Manager and Lead Coordinator WPS for proactive resolution
  • Cooperate with subcontractors and vendors based on Business requirements
