Job Description

An Administrative Assistant plays a crucial role in supporting the smooth operation of an office. As a key member of the administrative team, the Administrative Assistant helps maintain an efficient, organized workspace by managing administrative tasks, coordinating meetings, and acting as the primary point of contact for internal and external stakeholders. Responsibilities

  • Assist in the preparation and distribution of company documents and communications.
  • Coordinate and schedule meetings, appointments, and conference calls for management.
  • Manage correspondence by answering emails and phone calls and directing inquiries.
  • Maintain and update filing systems, both electronic and physical, in an orderly manner.
  • Assist with special projects by conducting research and gathering required information.
  • Order and manage office supplies to ensure adequate inventory levels are maintained.
  • Prepare reports, presentations, and meeting notes with high attention to detail.
  • Work collaboratively with other administrative staff to ensure seamless operations.
  • Process expense reports and other financial documentation for management approval.
  • Coordinate travel arrangements and accommodations for staff and executives as needed.
  • Maintain confidentiality in handling sensitive information and personnel records.
  • Support various departments with additional administrative tasks as required.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience in an administrative or office support role required.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent verbal and written communication skills are essential for collaboration.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience with various office equipment such as printers and scanners.
  • Ability to maintain a high level of confidentiality and professionalism.
