Job Description

As an Administrative Assistant, you play a pivotal role in ensuring the smooth operation of our organization. Your expertise will aid in maintaining an efficient office environment, supporting managers and employees through a variety of tasks related to organization and communication. You will handle various responsibilities, ranging from scheduling, data entry, communication management, and more, providing crucial support that keeps our day-to-day operations functioning seamlessly. We are looking for a motivated, proactive individual who is capable of managing a variety of administrative tasks, supporting team efficiency, and contributing to a productive and positive work environment. Your role will be essential in fostering both internal and external customer relationships through professionalism and diligence.


Responsibilities

  • Manage and organize a professional schedule for executives and management staff.
  • Answer and direct phone calls, emails, and other forms of communication.
  • Coordinate and arrange appointments, meetings, and conference calls promptly.
  • Prepare and edit correspondence, reports, and presentations accurately as needed.
  • Maintain and update office files, documents, and databases efficiently.
  • Support and facilitate the completion of regular reports to required standards.
  • Manage office supply inventory, ensuring that stock is always sufficient.
  • Assist with the planning and coordination of company events and activities.
  • Provide administrative support to other departments and projects as required.
  • Handle sensitive information confidentially with careful discretion and integrity.
  • Assist with travel arrangements and manage all associated documentation.
  • Help maintain a clean and organized office environment conducive to productivity.

Requirements

  • Proven experience as an administrative assistant or office admin assistant.
  • Knowledge of office management systems and procedures is essential.
  • Proficiency in MS Office Suite (MS Word, Excel, PowerPoint, and Outlook).
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills are required for effective support.
  • High level of organization and attention to detail in all administrative tasks.
  • A high school diploma or equivalent; additional qualifications a plus.
