Job Description

The role of an Administrative Assistant 12M26 is integral to the smooth operation of any organization. This position involves aiding management and staff by providing comprehensive administrative support that is crucial for the seamless execution of tasks and continuous office operations. An individual in this role engages in document preparation, maintains records, manages scheduling, and often serves as a point of contact for communications both within and outside the organization. The administrative assistant is also responsible for developing strategies to optimize workflow and contribute towards achieving the office's objectives.


Responsibilities

  • Coordinate and schedule meetings, ensuring all necessary resources are available to participants.
  • Manage and organize daily tasks to provide effective support to management and staff.
  • Prepare, proofread, and edit documents, reports, and correspondence to ensure accuracy.
  • Maintain filing systems, both electronic and physical, ensuring data is current and easily accessible.
  • Facilitate communication by managing incoming and outgoing correspondence and phone calls.
  • Handle travel arrangements, including booking tickets and accommodations, for official trips.
  • Assist in the preparation and logistical planning of events, conferences, and workshops.
  • Order and manage office supplies to ensure a well-stocked work environment.
  • Provide exceptional customer service, addressing inquiries and resolving issues efficiently.
  • Develop and implement office procedures to enhance operational efficiency and productivity.
  • Compile data and generate reports for management review and decision-making processes.
  • Support project management activities by tracking milestones and maintaining project documentation.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven experience as an administrative assistant or in a relevant role.
  • Proficiency in Microsoft Office Suite and basic familiarity with office software.
  • Strong organizational skills with the ability to prioritize and multitask effectively.
  • Excellent written and verbal communication skills for effective interaction.
  • Attention to detail and problem-solving skills in a fast-paced environment.
  • Ability to work independently and as part of a team to meet deadlines.
