Job Description

The Admin Officer is a pivotal role within our organization responsible for ensuring smooth and efficient operation of our administrative functions. The individual will oversee daily office activities to facilitate the optimal use of our company resources. The ideal candidate will demonstrate strong organizational skills, excellent communication abilities, and a knack for multitasking. As an admin officer, you will play an instrumental role in ensuring that our office operations run seamlessly, adhering to the organizational policies and standards. This role requires a high degree of professionalism, discretion in handling confidential information, and an ability to work independently as well as in collaboration with other team members.


Responsibilities

  • Coordinate and oversee daily office operations to ensure efficiency and compliance with company policies.
  • Manage scheduling of meetings and appointments to optimize time management for staff.
  • Assist in the preparation of regularly scheduled reports and maintain accurate records.
  • Oversee and manage the office’s filing systems to ensure data is secure and easily accessible.
  • Assist in budgeting and controlling the office supplies inventory to prevent shortages.
  • Handle administrative tasks such as processing invoices, expense reports, and other related documentation.
  • Assure security and confidentiality of office data and maintain ethical standards of transparency.
  • Facilitate communication between departments to ensure seamless workflow across the company.
  • Liaise with external vendors and service providers to obtain necessary services and supplies.
  • Provide assistance to senior managers and executives with appointments, scheduling, and communications.
  • Analyze and improve organizational processes and workflows to increase productivity.
  • Conduct regular audits of office operations to identify areas needing improvements and implement changes.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
  • Minimum of 2 years of experience in an administrative or office management role.
  • Proficient in Microsoft Office Suite, with excellent data entry and typing skills.
  • Exceptional organizational, communication, and interpersonal skills are required.
  • Ability to multitask and prioritize workload while maintaining strong attention to detail.
  • Strong problem-solving skills and the ability to handle confidential information appropriately.
  • Experience in financial and budgeting processes is beneficial but not mandatory.
