Job Description

As an Admin Assistant / Receptionist, you will play a crucial role in ensuring the smooth operation of our office by handling a diverse range of administrative tasks. You will be the welcoming face of our company, responsible for creating a positive first impression for visitors and providing comprehensive support to our team. Your responsibilities will include managing correspondence, scheduling appointments, and maintaining a well-organized front office environment. Responsibilities

  • Greet and assist visitors with a warm and friendly demeanor.
  • Answer and direct incoming phone calls to appropriate departments or personnel.
  • Maintain an organized and clean reception area and conference rooms.
  • Manage and distribute incoming and outgoing mail and packages efficiently.
  • Schedule appointments, meetings, and conference calls as required.
  • Assist with data entry and maintaining records in company databases.
  • Coordinate office supplies and maintain an inventory of stock levels.
  • Support various departments with clerical and administrative tasks.
  • Prepare and process expense reports and reimbursements accurately.
  • Handle confidential documents and information with discretion and integrity.
  • Provide administrative support to executives and senior management as needed.
  • Facilitate clear and effective communication between staff and external stakeholders.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Previous experience in a receptionist or administrative assistant role preferred.
  • Proficiency in Microsoft Office Suite and office management software.
  • Excellent communication skills, both verbal and written, are essential.
  • Strong organizational abilities and attention to detail are required.
  • Ability to multitask and manage time effectively in a busy environment.
  • Demonstrated ability to handle sensitive and confidential information with care.
