The Admin Assistant / Receptionist plays a vital role in ensuring the seamless operation of an organization by coordinating a variety of administrative tasks and managing front-desk operations. This position requires a highly organized, detail-oriented individual who can handle multiple responsibilities with efficiency and professionalism. The Admin Assistant / Receptionist serves as the first point of contact for clients and visitors, making excellent communication and interpersonal skills essential. This role involves managing schedules, handling correspondence, and providing general administrative support to various departments within the organization. An ability to remain calm under pressure and a strong commitment to providing outstanding customer service is crucial to succeed in this role.


Responsibilities

  • Greet all visitors with a warm and friendly demeanor upon arrival.
  • Answer and direct phone calls to the appropriate personnel efficiently.
  • Manage and schedule meetings and appointments for senior staff members.
  • Maintain organized and accurate records for administrative and logistical purposes.
  • Assist in coordinating office events and maintaining calendars of events.
  • Handle all incoming and outgoing correspondence, including emails and postal mail.
  • Ensure the reception area is tidy and presentable, with all necessary materials.
  • Support administrative staff in a variety of day-to-day tasks and projects.
  • Order and manage office supplies inventory and track stock levels as needed.
  • Provide assistance to employees and visitors with general administrative inquiries.
  • Conduct routine checks on equipment and schedule maintenance as required.
  • Assist in data entry tasks, ensuring accuracy and confidentiality of information.

Requirements

  • High school diploma or equivalent education is required for this position.
  • Proven experience as an administrative assistant or receptionist is preferred.
  • Proficient computer skills, including Microsoft Office Suite proficiency, are essential.
  • Strong verbal and written communication skills are crucial for effective interaction.
  • Effective organizational and multitasking abilities with attention to detail.
  • Customer service orientation with a professional and courteous approach.
  • Ability to handle sensitive information with a high level of confidentiality.
