Job Description

As an Admin Assistant, you will play a pivotal role in ensuring the smooth operation of our office. You will be responsible for providing administrative support to our management team and other staff members, facilitating communication, organizing schedules, and managing daily office functions. Your excellent organizational skills, attention to detail, and ability to manage multiple tasks will be essential in maintaining efficiency and productivity within the office. Responsibilities

  • Provide comprehensive administrative support to the management and teams within the office.
  • Respond to telephone calls and emails providing information as needed.
  • Coordinate and schedule appointments and meetings for office staff and management.
  • Prepare and disseminate correspondence, memos, and forms for internal communication.
  • Organize and maintain electronic and physical filing systems efficiently.
  • Assist in the preparation of reports, presentations, and other documentation.
  • Manage office supplies inventory and place orders when necessary to ensure availability.
  • Handle daily communication with clients and vendors as a point of contact.
  • Ensure compliance with company policies and procedures in day-to-day tasks.
  • Assist with the planning and execution of company events and meetings.
  • Support the HR department with recruitment tasks and employee record management.
  • Participate in special projects and perform other duties as assigned by supervisors.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as an administrative assistant or in a related role.
  • Proficiency in MS Office Suite including Word, Excel, and PowerPoint.
  • Strong organizational and multi-tasking skills with attention to detail.
  • Excellent written and verbal communication abilities are required.
  • Ability to work independently and collaboratively within a team environment.
  • Familiarity with office management systems and procedures is preferred.
