The Admin Assistant is a pivotal role within any organization, providing comprehensive support to ensure smooth and efficient operations. The Admin Assistant is responsible for managing communications, scheduling meetings, organizing files, and ensuring that office supplies are always available. Responsibilities

  • Manage and organize daily schedules and calendars for senior management staff.
  • Coordinate and arrange meetings, including preparing agendas and taking minutes.
  • Handle incoming and outgoing communications via emails, phone calls, and letters.
  • Maintain and manage filing systems, both physical and electronic, meticulously.
  • Provide support in document preparation, typing, formatting, and editing as required.
  • Serve as the first point of contact for visitors, clients, and staff inquiries.
  • Assist in the planning and execution of company events and meetings logistics.
  • Order and maintain inventory of office supplies, ensuring availability at all times.
  • Coordinate travel arrangements, including booking flights and hotel accommodations.
  • Support project teams with administrative tasks and data entry duties.
  • Ensure confidentiality and security of sensitive information and documents.
  • Collaborate with other departments to provide reports and administrative insights.

Requirements

  • Proven experience as an administrative or office assistant for at least 2 years.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills are essential for the role.
  • Strong organizational skills with the ability to multitask and prioritize tasks.
  • High attention to detail and problem-solving skills are critical for success.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Relevant educational background, such as a diploma or degree in business administration.
