Job Description

The Tenant Coordination Manager plays a crucial role in ensuring the smooth transition and successful integration of new tenants into commercial and residential properties. This position involves acting as the primary liaison between property owners, tenants, and various other departments such as leasing, construction, and property management. The Tenant Coordination Manager is responsible for overseeing tenant improvements and modifications to ensure they are completed according to specifications, within budget, and on time. A successful Tenant Coordination Manager will possess exceptional communication, project management, and problem-solving skills to facilitate the alignment of tenant needs with property specifications. The role requires a keen attention to detail and the ability to handle multiple projects simultaneously, ensuring high standards of tenant satisfaction and compliance with all relevant regulations.


Responsibilities

  • Coordinate with leasing agents to ensure seamless communication and transition for new tenants.
  • Develop and manage project plans and timelines for tenant improvement projects.
  • Conduct regular meetings with tenants, contractors, and property management teams.
  • Review and approve tenant construction plans and specifications for alignment with building standards.
  • Monitor and ensure adherence to project budgets and timelines, suggesting adjustments as needed.
  • Facilitate resolutions to any issues or conflicts that arise during tenant build-out processes.
  • Ensure compliance with all local, state, and federal regulations related to construction and tenant occupancy.
  • Provide regular updates and reports on project status to stakeholders and senior management.
  • Oversee inspections and ensure required permits are secured on time for tenant projects.
  • Assist in negotiating tenant improvement work between tenants and contractors, promoting cost-effective solutions.
  • Develop and nurture relationships with repeat tenants and encourage ongoing partnership opportunities.
  • Respond to tenant inquiries in a timely and courteous manner, fostering positive tenant relations.

Requirements

  • Bachelor’s degree in real estate, business administration, or related field.
  • Minimum of 3 years of experience in tenant coordination or property management.
  • Strong project management skills, with experience managing multiple projects simultaneously.
  • Excellent communication skills, both verbal and written, for effective client interaction.
  • Proficiency in property management software and Microsoft Office Suite.
  • Ability to read and interpret construction documents and technical specifications accurately.
  • Proven ability to work independently while also collaborating effectively within a team environment.
