Job Description

The role of a Receptionist in a healthcare setting is integral to the smooth operation of medical facilities. As the first point of contact for patients and visitors, you will play a crucial role in providing exceptional customer service and ensuring the front desk operations run smoothly. The ideal candidate will have excellent interpersonal skills, a keen eye for detail, and the ability to multi-task in a fast-paced environment. You will be responsible for managing patient appointments, answering queries, and directing patients and visitors appropriately while maintaining a professional demeanor. Responsibilities

  • Greet patients and visitors warmly as they arrive at the healthcare facility.
  • Efficiently manage and schedule patient appointments via telephone and email.
  • Handle patient inquiries and provide relevant information with clarity and courtesy.
  • Coordinate with healthcare staff to streamline patient flow and reduce waiting time.
  • Maintain an up-to-date electronic patient registration system with all necessary information.
  • Answer, screen, and forward incoming phone calls with professionalism and efficiency.
  • Ensure the reception area is tidy, presentable, and stocked with necessary materials.
  • Assist with billing and payment processing, recording all transactions accurately.
  • Facilitate communication between patients and healthcare providers as needed.
  • Manage patient records, ensuring confidentiality and compliance with data protection laws.
  • Support clinic staff with administrative tasks such as filing and photocopying as required.
  • Manage and update appointment calendars, ensuring all changes are communicated promptly.

Requirements

  • High school diploma or equivalent; additional certification in healthcare administration is a plus.
  • Proven experience as a receptionist or in a customer service role is required.
  • Strong organizational skills with the ability to multi-task in a fast-paced setting.
  • Excellent communication skills, both verbal and written, are essential.
  • Proficiency in using computer software including Microsoft Office and patient databases.
  • High level of professionalism and confidentiality in handling patient information.
  • Ability to work flexible hours, including some evenings and weekends, is preferred.
