Job Description

As a Receptionist, you will be the first point of contact for our company, providing administrative support across the organization. You will ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner. Your duties will involve greeting visitors courteously, directing them as appropriate, and notifying company personnel of visitor arrival. Furthermore, the Receptionist will also be responsible for maintaining security by issuing visitor badges and keeping track of daily visitor logs. Being the welcoming face of the company, you will provide a warm, yet professional first impression and contribute to maintaining a well-organized, efficient front desk space.


Responsibilities

  • Greet visitors and direct them to the appropriate person or service efficiently.
  • Answer, screen, and forward incoming phone calls professionally and promptly.
  • Maintain a clean, organized, and welcoming reception area at all times.
  • Provide basic and accurate information in person and via phone or email.
  • Receive, sort, and distribute daily mail/deliveries to the respective departments.
  • Schedule appointments, meetings, and provide reminders as needed for staff and visitors.
  • Perform data entry and maintain databases, including visitor logs and security registers.
  • Assist with administrative tasks such as preparing letters, transcribing notes, and scheduling meetings.
  • Coordinate with facility management for office space needs and maintenance requests.
  • Manage relationships with cleaning, catering, and security services when necessary.
  • Assist with travel arrangements and expense reports for top executives or visitors.
  • Ensure compliance with all company security, safety, and confidentiality procedures.

Requirements

  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite, with ability to quickly learn new applications.
  • Hands-on experience with office equipment, including printers and fax machines.
  • Professional attitude and appearance, ensuring a positive company image.
  • Solid written and verbal communication skills for effective visitor interaction.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Excellent organizational skills, with the ability to prioritize tasks effectively.
