Job Description

As a Receptionist, you will be the first point of contact for our organization, responsible for providing a warm and welcoming atmosphere to our clients, visitors, and staff. Your role will be pivotal in ensuring smooth day-to-day operations by managing front desk activities including answering incoming calls, handling mail, and providing general administrative support. The ideal candidate will have excellent communication skills and a friendly demeanor, ensuring that every visitor feels valued and cared for. You will be a key player in maintaining the professional image of the company, requiring a high level of organization and multitasking ability. Your proactive approach in anticipating the needs of the office and your resourcefulness in facing day-to-day challenges will make you an essential part of the team.


Responsibilities

  • Warmly greet and assist all visitors and clients upon arrival.
  • Answer, screen, and forward incoming phone calls as necessary.
  • Maintain the reception area, ensuring it is tidy and presentable.
  • Receive, sort, and distribute daily mail and deliveries accurately.
  • Provide basic and accurate information in-person and via phone/email.
  • Coordinate and schedule appointments, meetings, and conference rooms.
  • Perform clerical duties such as filing, photocopying, and faxing documents.
  • Monitor and maintain office equipment and supplies inventory levels.
  • Liaise with internal departments to ensure smooth office operations.
  • Assist with the preparation of meeting rooms and catering arrangements.
  • Manage and update visitor records and security logs efficiently.
  • Prepare and submit regular office reports to management as required.

Requirements

  • Proven experience as a receptionist or in a related role preferred.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in Microsoft Office Suite and basic office equipment.
  • Strong organizational skills with the ability to multitask efficiently.
  • Customer service attitude with a professional appearance and demeanor.
  • High school diploma; additional certification in Office Management is a plus.
  • Ability to handle sensitive information with the utmost confidentiality.
