Job Description

As a Receptionist at our innovative company, you will serve as the initial point of contact for our valued clients and visitors. In this pivotal front-line role, your primary responsibility will be to ensure the seamless operation of our reception area while providing an exceptional first impression to anyone entering our premises. Your positive attitude, professionalism, and outstanding communication skills will enhance our company's image. The ideal candidate will handle administrative duties efficiently and coordinate with different departments to address the needs of our staff and clientele. This position requires a highly organized individual who can manage multiple tasks with attention to detail and confidentiality.


Responsibilities

  • Greet and welcome guests as they arrive at the office.
  • Direct visitors to the appropriate person and office or department.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Provide basic and accurate information in response to client inquiries.
  • Maintain the reception area in a tidy, organized, and professional manner.
  • Receive, sort, and distribute daily mail and deliveries accurately.
  • Order office supplies, ensure inventory is stocked, and reorder as necessary.
  • Coordinate with building management to ensure facility issues are resolved quickly.
  • Assist in scheduling appointments and managing calendars of executives.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Manage and update the contact list to ensure up-to-date records.
  • Ensure compliance with all company policies, procedures, and regulations.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office equipment like printers.
  • Professional attitude and appearance necessary to excel in this role.
  • Solid written and verbal communication skills are essential for daily duties.
  • Ability to be resourceful and proactive in problem-solving situations.
  • Excellent organizational skills with a focus on attention to detail.
  • High school diploma required; additional education or certifications are a plus.
