Job Description

As a Real Estate Office Administrator, you will be the backbone of our real estate office operations, ensuring a seamless workflow and exceptional service delivery. In this role, you will support our agents and provide exceptional administrative services to our clients. Your expertise in office management and real estate industry knowledge will allow our team to function efficiently. You will handle various tasks ranging from scheduling, communication management, transaction coordination to records maintenance. You play a critical role in maintaining the smooth operation of the office by executing and refining administrative processes. Your organizational skills and attention to detail will ensure that all documents and transactions are processed accurately and in a timely manner.


Responsibilities

  • Oversee and manage daily office operations to ensure efficiency and professionalism.
  • Support real estate agents with administrative tasks to streamline their workload.
  • Maintain an organized filing system for digital and physical real estate documents.
  • Prepare and coordinate all necessary documentation for real estate transactions.
  • Schedule meetings, showings, and appointments, ensuring no overlaps or conflicts.
  • Communicate effectively with clients, agents, and vendors to provide exceptional service.
  • Coordinate office activities and operations by managing schedules and deadlines.
  • Track and order office supplies in adherence to budgetary restrictions and needs.
  • Assist in the onboarding process of new agents and office staff members.
  • Ensure compliance with real estate regulations, standards, and company policies.
  • Handle customer inquiries professionally, escalating issues to the manager as necessary.
  • Update office and client databases regularly to ensure information accuracy.

Requirements

  • Bachelor’s degree in business administration or a related field preferred.
  • Proven experience as an office administrator in a real estate firm.
  • Strong knowledge of real estate management software and office technologies.
  • Excellent organizational skills and the ability to multitask under pressure.
  • Exceptional communication skills with a client-oriented service approach.
  • Attention to detail and the capability to maintain confidentiality at all times.
  • Familiarity with real estate regulations, laws, and best practices in the industry.
