Job Description

We are seeking a highly organized and detail-oriented Real Estate Office Administrator to join our dynamic team. This pivotal role is integral to our operations, ensuring that the office runs smoothly and efficiently. The successful candidate will manage various challenges associated with supporting a busy real estate office, from coordinating day-to-day administrative tasks to providing superior support to our agents and clients. You will be the first point of contact for clients, vendors, and visitors, and your ability to multitask and communicate effectively is crucial in maintaining a pleasant and productive work environment. Your expertise will help streamline our office operations and foster a productive workplace for our team and clients alike.


Responsibilities

  • Oversee and coordinate the day-to-day administrative functions of the real estate office.
  • Act as the first point of contact for all clients, vendors, and visitors entering the office.
  • Maintain and manage office filing systems, both electronically and in hard copies.
  • Schedule and coordinate meetings, appointments, and real estate showing appointments for agents.
  • Assist in the preparation of real estate documents, reports, and presentations as needed.
  • Manage communication with clients and respond promptly to inquiries via phone or email.
  • Ensure the office supplies are well-stocked and order supplies as necessary to prevent shortages.
  • Maintain database systems accurately to reflect up-to-date information regarding clients and properties.
  • Coordinate the setup and maintenance of office technology, including phone systems and computers.
  • Organize office events, meetings, and training sessions to support team engagement.
  • Track and manage financial records, including processing invoices and expenses for the office.
  • Provide support to real estate agents in their marketing efforts, including social media management.

Requirements

  • High school diploma or equivalent; bachelor’s degree preferred in a related field.
  • Proven experience working in an office management or administrative role.
  • Excellent communication skills, both verbal and written, are required.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Proficiency in Microsoft Office Suite and real estate database management software.
  • Ability to work independently and manage multiple projects with strict deadlines.
  • Familiarity with real estate procedures and legal regulations is considered an advantage.
