The Radiology coordinator plays a key administrative and operational support role, ensuring smooth workflow, effective communication and quality patient care.

Responsibilities

RESPONSIBILITIES

  • Oversee the day-to-day coordination of diagnostic imaging service across all modalities, ensuring smooth departmental operations.
  • Manage appointment scheduling for various imaging modalities, (NM, IR, Breast Imaging, MSK).
  • Manage radiology scheduling workflows to maximize equipment utilization and reduce patient wait times.
  • Serve as the primary point of contact between patients, referring physicians, nursing staff and front-desk teams to streamline communications.
  • Monitor and verify insurance approvals and pre-authorization in line with the compliance standards.
  • Ensure patients receive preparation instructions and confirmation calls for their appointments.
  • Handle patient inquiries and resolve minor complaints.
  • Maintain updated and accurate data within the hospital systems, including patient demographics, orders and imaging records.
  • Support quality and safety initiatives, including radiation safety protocols and infection control standards.
  • Assist with internal audits, departmental reporting, and other administrative tasks assigned by senior management.
  • Support radiologists with workflow management by ensuring timely access to patient records, prior imaging, relevant clinical notes.

Accountabilities

  • Operational efficiency: Ensure seamless coordination of imaging appointments and procedure readiness.
  • Data accuracy: Maintain up-to-date, error-free scheduling and patient information across all systems.
  • Regulatory Compliance: adhere to DOH/HAAD guidelines, patient confidentiality laws, and imaging department protocols.
  • Patient satisfaction: support a high standard of care through timely service delivery and effective communication.
  • Inter-departmental Coordination: Act as a reliable liaison between medical, technical, and administrative teams.
  • Issue resolution: Proactively identify and address scheduling conflicts, referral issues or workflow disruptions.

  • Manage and coordinate imaging appointments based on priority and modality.
  • Communicate with radiologists, technologists, and nursing teams to align daily workflows.
  • Verify referral completeness and ensure necessary preparations are communicate via appropriate staff.
  • Maintain accurate entries in the Hospital system.
  • Assist in monitoring reporting timelines and addressing urgent imaging cases.
