Job Description

As a Property Administrator, your role is crucial in ensuring the smooth and efficient operation of various property-related functions. You will be tasked with managing and overseeing the day-to-day administrative responsibilities pertaining to property management. This includes maintaining tenant relationships, ensuring compliance with property regulations, and supporting the property management team with their strategic objectives. Your key role is to act as a liaison between property owners, tenants, maintenance teams, and other stakeholders to enhance client satisfaction and maintain property operations seamlessly. You will need to possess excellent organizational and communication skills to effectively manage leases, contracts, and other pertinent property documentation. Your attention to detail and ability to manage multiple projects simultaneously will contribute to sustaining high standards of property management and tenant service.


Responsibilities

  • Maintain accurate records and databases of property-related documentation and activities.
  • Coordinate and schedule property maintenance requests and ensure timely completion.
  • Act as a primary point of contact for tenant inquiries and concerns.
  • Ensure compliance with local, state, and federal property regulations.
  • Assist in drafting, reviewing, and managing lease agreements and amendments.
  • Support the property management team with budgeting and financial reporting tasks.
  • Organize and attend property inspections, preparing detailed inspection reports.
  • Monitor rent collection processes and address any delinquency issues promptly.
  • Coordinate communication between property owners, tenants, and service providers.
  • Prepare and distribute tenant notices, newsletters, and other communication materials.
  • Analyze property performance metrics and recommend strategies for improvement.
  • Assist in marketing efforts to attract potential tenants and maintain occupancy levels.


Requirements

  • Proven experience working as a property administrator or similar role.
  • Strong knowledge of property management industry practices and regulations.
  • Excellent organizational skills to manage multiple property assignments.
  • Strong interpersonal skills to effectively communicate with diverse stakeholders.
  • Proficiency in property management software and Microsoft Office Suite.
  • Ability to analyze financial reports and prepare budgeting documents.
  • Detail-oriented mindset with the ability to problem-solve effectively.
