Job Description

As an MEP Document Controller, you will play a pivotal role in ensuring the effective management of technical and engineering documents related to Mechanical, Electrical, and Plumbing (MEP) systems. Your primary responsibility will be to maintain and organize all documents within a project's MEP department, ensuring compliance with project standards and regulations. This role requires a high level of attention to detail, as you will be responsible for sorting, labeling, and archiving various documents, making them easily accessible for team members and stakeholders. In addition, you will be tasked with coordinating with different departments to ensure that all vital documents are accurate and up-to-date. Excellent communication skills are a must, as you will be interacting with engineers, project managers, and external partners regularly. By maintaining a well-structured document control system, you will help ensure that the project runs smoothly and efficiently, contributing significantly to its overall success.


Responsibilities

  • Organize and maintain all documents within the MEP department for quick retrieval.
  • Ensure that all engineering documents comply with project standards and guidelines.
  • Coordinate with engineering teams to manage project documents and drawings.
  • Label and archive documents for easy identification and retrieval by stakeholders.
  • Create and manage document tracking systems to keep records precise and accessible.
  • Regularly update documents to reflect changes or modifications within the project.
  • Liaise with project managers to ensure proper documentation flow and approval processes.
  • Prepare transmittals and distribute documents to relevant team members and clients.
  • Review all incoming and outgoing documents for accuracy and completeness.
  • Provide training to staff on document control procedures and systems.
  • Manage the filing system both electronically and in hard copy for security and access.
  • Generate regular reports on document status and project progress for management review.

Requirements

  • Bachelor’s degree in Business Administration, Engineering, or a related field.
  • Minimum of 3 years of experience in document control, preferably in an MEP setting.
  • Proficient in document management software and Microsoft Office Suite.
  • Strong organizational skills and attention to detail are essential for the role.
  • Excellent communication skills, both written and verbal, for liaising with teams.
  • Ability to work under pressure and meet tight deadlines efficiently.
  • Solid understanding of project management processes and documentation standards.
