Job Description

A Document Controller plays a crucial role in the management and organization of all company documents to ensure operational efficiency. As a Document Controller, you will be responsible for the systematic and efficient handling, recording, and storage of company documents. This position ensures that important organizational information is appropriately archived and easily accessible by the appropriate personnel at any time. You will act as the focal point for all document management activities within the company, implementing control processes and procedures. Your objective is to ensure that all documentation is accurate, updated, securely stored, and easily retrievable, thus supporting the smooth operation of projects and complying with legal and regulatory standards. The ideal candidate should exhibit exemplary organizational skills, keen attention to detail, and a high level of integrity and professionalism.


Responsibilities

  • Develop and maintain a comprehensive filing system and document control processes.
  • Ensure that all documents are well-checked and submitted on time prior to the documents’ submission due date.
  • Review and update technical documents such as workflows, drawings, or other organizational documentation.
  • Maintain confidentiality around sensitive documentation and information according to established policies.
  • Collaborate with project teams to ensure consistent project documentation and record-keeping.
  • Coordinate with different departments to ensure seamless communication and document exchanges.
  • Monitor document management software to ensure consistency and accuracy in the filing system.
  • Conduct regular reviews and audits of document management systems and processes to ensure compliance.
  • Prepare ad-hoc reports on projects when necessary for management and stakeholders.
  • Ensure compliance with all internal and external documentation requirements.
  • Train staff on document management systems and document control processes.
  • Assist in the development and implementation of improved processes and systems for document control.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or a related field preferred.
  • Proven experience in document management or similar administrative role.
  • Proficiency in document management tools and Microsoft Office Suite required.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Excellent communication skills, both written and verbal, are essential.
  • Ability to manage multiple tasks and prioritize efficiently in a fast-paced environment.
  • Strong integrity and professionalism in handling confidential information and documents.
