Job Description

We are seeking a highly organized and proactive Assistant to the CEO to join our dynamic team. This role involves providing high-level administrative support to the CEO, helping manage and prioritize their day-to-day activities, and ensuring the smooth operation of the executive office. The ideal candidate will be a detail-oriented professional with excellent communication and multitasking skills. As the Assistant to the CEO, you will act as a key contact point for interdepartmental coordination as well as external stakeholders, enhancing the effectiveness and efficiency of the CEO’s responsibilities. The role demands discretion, a sense of confidentiality, and an ability to work in a fast-paced environment. Responsibilities

  • Manage the CEO's calendar, schedule appointments, and organize meetings and events.
  • Coordinate and handle all travel arrangements, including itineraries, accommodations, and transportation.
  • Prepare and edit correspondence, communications, presentations, and other documents for the CEO.
  • Conduct research, compile data, and prepare reports for consideration and presentation by the CEO.
  • Serve as a liaison between the CEO and various departments, partners, and external parties.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Anticipate the CEO’s needs and proactively bring together appropriate people and resources.
  • Assist in strategic projects, ensuring timely completion and excellence in delivery.
  • Maintain efficient file and record management systems for easy retrieval of information.
  • Oversee some projects from inception to completion under the guidance of the CEO.
  • Organize and prioritize critical issues and required decision-making for the CEO.
  • Facilitate smooth communication between the CEO's office and other internal departments.

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Minimum of 3 years’ experience as an executive assistant or similar role.
  • Exceptional written and verbal communication skills are required for this position.
  • Proven ability to handle confidential information with integrity and discretion.
  • Strong organizational and time management skills, with attention to detail.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Ability to work independently and prioritize tasks in a fast-paced environment.
