The Facilities Coordinator will work closely with the Facilities Manager to support all facilities activities. The Facilities Coordinator will provide administrative support to the Facilities Manager and the Facilities organization, manage office functions including: Work Order coordination, Security badge and access assignments, database management, daily office operations, coordination of budgeting/accounting systems, maintaining office records, and providing general support services for the divisional staff. Additionally, the Facilities Coordinator, under the supervision of the Facilities Manager, will manage all outside contractors in support of the Facilities Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support.
KEY RESPONSIBILITIES:
Assist the Facilities Manager in all aspects of project implementation as needed.
Support the Facilities Manager with external contacts as needed.
Communicate and liaise directly with the operations departments to coordinate maintenance and repair work and ensure a quick turn around and return of repairs for smooth functioning of the outlets
Be responsible for the testing of fire alarms, emergency lighting etc. on a routine basis as required by local authorities and Fire Service.
Provide administrative support to the Facilities team.
Assist facilities staff in locating parts, supplies, and materials.
Supervise and train facility employees and contractors as needed.
Be available to initiate emergency maintenance work outside of normal working hours, as required for: full power failure, evacuation fire system re-set and / or failure of mechanical systems
Carry out holistic portfolio survey to assess units for remedial maintenance, supervise refurbishment / mini project works and prepare reports as requested
Prepare and assist in the preparation of monthly Maintenance reports.
