Job Description

As an Executive Assistant, you will play a critical role in supporting our organization's executives by managing administrative tasks, optimizing productivity, and enabling them to focus on their strategic objectives. Your role will require high levels of organization, excellent communication skills, and the ability to manage multiple priorities with ease. You will be integral in ensuring that the executive's day-to-day activities run smoothly and efficiently, including managing schedules, coordinating meetings, and handling correspondence. This position demands discretion, professionalism, and flexibility, as you will be dealing with highly sensitive information and a wide range of stakeholders including senior management and external partners.


Responsibilities

  • Manage and optimize the daily schedules of executive members to maximize productivity.
  • Coordinate meetings, including preparing agendas and distributing meeting minutes afterward.
  • Handle all global travel arrangements such as booking flights, accommodations, and visas.
  • Serve as the primary point of contact for internal and external communications with the executives.
  • Maintain comprehensive and accurate records of corporate documents and correspondence.
  • Prepare and edit presentations, reports, and documents for executive meetings.
  • Organize and prioritize incoming correspondence and respond on behalf of executives when necessary.
  • Liaise with other departments to ensure alignments and smooth workflows within the company.
  • Assist in planning and organizing corporate events and other company activities.
  • Support the management of high-stakes projects to ensure seamless execution.
  • Conduct research and prepare briefing reports for executive decision-making.
  • Manage expense reports and reconcile corporate credit card transactions for executives.

Requirements

  • Bachelor’s degree in Business Administration or related field is preferred.
  • Minimum of five years’ experience as an executive assistant or administrative support.
  • Strong organizational and time management skills with attention to detail.
  • Exceptional verbal and written communication skills are required.
  • Demonstrated ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite and familiarity with project management tools.
  • Proven ability to handle complex calendar management and travel arrangements.
  • Excellent problem-solving skills and ability to work independently.
  • Ability to work in a fast-paced environment and manage competing priorities.
  • Must be adaptable to changing needs and able to work effectively under pressure.
