Key Responsibilities:

  • Front Desk & Reception
  • Welcome visitors and clients courteously, ensuring a positive first impression
  • Manage incoming phone calls and emails, directing inquiries to the appropriate contacts
  • Keep the reception and meeting areas clean, organized, and presentable at all times
  • Oversee incoming and outgoing correspondence, including mail, packages, and courier coordination
  • Administrative Support
  • Provide hands-on administrative support to the Admin Senior Specialist, including scheduling, documentation, and process coordination
  • Assist management with calendar management, travel arrangements, and other administrative requirements
  • Support daily office operations such as procurement of supplies, facilities-related requests, and vendor coordination
  • Building coordination, which includes (parking sticker application, guests and events endorsement)
  • Cross-Functional Coordination
  • Coordinate with all departments within the organization to ensure timely communication and follow-through on requests
  • Support interdepartmental scheduling, document handling, and logistical arrangements
  • Marketing & Events Assistance
  • Support the Marketing Team in organizing and delivering internal and external events
  • Coordinate logistics for meetings, webinars, client visits, and team activities
  • Assist with event materials, attendee lists, and post-event coordination and follow-ups
  • Other Responsibilities
  • Carry out additional tasks or projects as assigned by management from time to time




Requirements:

  • Work fully on-site, five (5) days a week from Monday to Friday, to support front desk operations and daily office activities
  • Prior experience in a receptionist, administrative assistant, or similar role
  • Strong communication, organizational, and multitasking capabilities
  • Proficient in Microsoft Office and collaboration tools such as Google Workspace, Zoom, and Slack
  • Able to handle confidential information and work effectively with multiple stakeholders
  • Detail-oriented, proactive, and capable of working independently
  • Experience in a fast-paced or startup environment is an advantage
