Key Responsibilities:
Front Desk & Reception
Welcome visitors and clients courteously, ensuring a positive first impression
Manage incoming phone calls and emails, directing inquiries to the appropriate contacts
Keep the reception and meeting areas clean, organized, and presentable at all times
Oversee incoming and outgoing correspondence, including mail, packages, and courier coordination
Administrative Support
Provide hands-on administrative support to the Admin Senior Specialist, including scheduling, documentation, and process coordination
Assist management with calendar management, travel arrangements, and other administrative requirements
Support daily office operations such as procurement of supplies, facilities-related requests, and vendor coordination
Building coordination, which includes (parking sticker application, guests and events endorsement)
Cross-Functional Coordination
Coordinate with all departments within the organization to ensure timely communication and follow-through on requests
Support interdepartmental scheduling, document handling, and logistical arrangements
Marketing & Events Assistance
Support the Marketing Team in organizing and delivering internal and external events
Coordinate logistics for meetings, webinars, client visits, and team activities
Assist with event materials, attendee lists, and post-event coordination and follow-ups
Other Responsibilities
Carry out additional tasks or projects as assigned by management from time to time
Requirements:
Work fully on-site, five (5) days a week from Monday to Friday, to support front desk operations and daily office activities
Prior experience in a receptionist, administrative assistant, or similar role
Strong communication, organizational, and multitasking capabilities
Proficient in Microsoft Office and collaboration tools such as Google Workspace, Zoom, and Slack
Able to handle confidential information and work effectively with multiple stakeholders
Detail-oriented, proactive, and capable of working independently
Experience in a fast-paced or startup environment is an advantage
