Work Schedule: Monday - Friday (9pm - 1am)

20 hours per week initially

What are we looking for?

  • Highly proficient in backend support for Wordpress, plugins
  • Proficiency with digital tools (Google Workspace, Microsoft Office)
  • Schedule travel and manage calendar for CEO
  • Help manage calendar of CEO
  • Strong organizational, analytical, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively within a team.
  • High degree of integrity, professionalism, and confidentiality.

What will you do?

WordPress Website & Backend Administration (Core Responsibility)

  • Maintain and optimize the websites WordPress backends, including plugin management, theme updates, third-party app integrations (event tools, email automation, payment gateways, CE platforms), etc.

Event & Training Registration Management (High Priority)

  • Design and manage event registration forms and landing pages for public, private, and HCA trainings; configure registration limits, event types, discount codes, and automated confirmation emails with accurate event details; maintain event calendars and attendee lists.

HCA Training Administration & Financial Tracking (2nd Most Important)

  • Manage end-to-end HCA training operations, including registration setup, attendee tracking, receipt collection, invoice monitoring, trainer payments, and submission of paid invoice records to NW Accountants for accurate reconciliation

Post-Event Operations & Client Support

  • Issue CEU certificates, coordinate trainer payments, respond to participant inquiries, and provide high-quality digital customer support via email, chat, and website forms in collaboration with the Director of Training.

Website Content, Updates & Technical Support

  • Post and update events, products, CE courses, and training content across both websites; troubleshoot purchase and access issues related to courses, bundles, and toolkits; ensure all information remains current and accurate.

Administrative Operations & Systems Management

  • Prepare materials for team meetings, manage Google Drive organization and backups, administer internal tools and software licenses, and continuously improve workflows to support operational efficiency.

Financial Coordination & Reporting (Training Phase / Lower Priority Initially)

  • Support AP/AR processes, invoice tracking, expense documentation, P&L reporting, budgeting, and monthly financial summaries in coordination with leadership and NW Accountants.
