Schedule: Monday - Friday (7:00 AM - 7:00 PM PHT)
What are we looking for?
The Compliance & Assets Officer plays a vital operational role in managing organizational risk, regulatory compliance, asset lifecycles, and fleet administration. Working closely with Operations, HR, and Finance, this role ensures all third-party providers, contractors, clinical assets, and company vehicles are fully credentialed, tracked, and compliant with Australian healthcare regulations (including NDIS Practice Standards and Aged Care Quality Standards).
Skills Required
Experience: 2+ years in compliance, procurement, asset management, or fleet administration, ideally within Australian Healthcare, Aged Care, or NDIS environments.
Technical Knowledge: Understanding of AHPRA registrations, NDIS Practice Standards, Aged Care Quality Standards, and basic funding framework mechanisms (NDIS, Support at Home, DVA).
Software Proficiency: Advanced proficiency in Microsoft Excel (data tracking, formulas) and experience navigating CRM/asset management databases.
Core Competencies: High attention to detail, strong follow-through on renewals, commercial negotiation skills with suppliers, and strong stakeholder communication skills.
What will you do?
Compliance & Provider Credentialling:
Maintain up-to-date compliance registers for employees, subcontractors, and third-party healthcare/allied health providers.
Verify and audit mandatory credentials, including AHPRA registrations, professional indemnity/public liability insurance, NDIS Worker Screening, Police Clearance, and Working with Children Checks (WWCC).
Proactively track upcoming document expiries, follow up on outstanding credentials, and escalate non-compliance risks before service delivery.
Asset Management & Equipment Tracking:
Maintain the central master asset register for all company laptops, phones, clinical equipment, tools, and hardware.
Coordinate asset allocations, transfers, and handovers for new hires, role changes, and exiting staff.
Monitor equipment condition, track warranties/replacement cycles, and schedule periodic physical inventory audits to prevent loss or damage.
Fleet & Vehicle Administration:
Manage vehicle registrations, insurance renewals, roadside assistance, and routine servicing/maintenance across company transport.
Issue, monitor, and audit fuel card usage, logbooks, toll accounts, and fringe benefits tax (FBT) documentation.
Coordinate accident reporting, repairs, replacement vehicles, and safety briefings for field/care staff.
Document Control & Audit Reporting:
Maintain organized, audit-ready compliance and asset files across all business units.
Provide regular status reports on expiring documents, pending vehicle services, and asset allocations to senior management.
Identify process improvements, establish standardized operational checklists, and enforce data privacy/DPA compliance.
