Job Description

We are seeking a highly organized and proactive Executive Assistant to join our dynamic team. The ideal candidate will support executive management by handling a wide range of administrative duties and executive-level tasks. You will not only be managing the immediate needs of one or more executives but also be responsible for creating a seamless workflow to enhance efficiency and effectiveness. The Executive Assistant will serve as a key point of contact among executives, employees, clients, and other external partners. You must be adept at problem-solving and have the ability to work independently under pressure without compromising on quality or professionalism. This role is critical to the smooth operation and success of our executive office, and we are looking for someone with exceptional organizational skills and the ability to adapt to the ever-changing demands of our business.


Responsibilities

  • Manage and coordinate the daily schedules and appointments of senior executives efficiently.
  • Prepare and review comprehensive meeting materials, agendas, and minutes accurately.
  • Arrange and coordinate extensive domestic and international travel itineraries seamlessly.
  • Serve as a primary point of contact for internal and external communications.
  • Draft, proofread, and update executive correspondence, presentations, and reports.
  • Ensure timely submission and processing of expense reports for executive review.
  • Liaise with various departments to ensure timely execution of executive directives.
  • Conduct research, compile data, and present findings to assist decision-making.
  • Maintain confidentiality of highly sensitive organizational and personal information.
  • Develop and implement efficient office procedures to improve overall productivity.
  • Assist in organizing company events and internal business meetings effectively.
  • Provide backup support for other administrative team members as required.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • A minimum of 5 years of experience as an Executive Assistant is required.
  • Exceptional organizational and time-management skills with attention to detail.
  • Strong proficiency in Microsoft Office Suite and digital collaboration tools.
  • Excellent verbal and written communication skills with high professionalism.
  • Ability to handle multiple tasks and priorities in a fast-paced environment.
  • Proven ability to maintain confidentiality and exercise discretion is essential.
