Job Description

An Administrative Assistant 24D25 plays a pivotal role in ensuring the smooth operation of office tasks and contributes to the overall efficiency of the organization. This role requires an organized, detail-oriented individual who can effectively manage diverse administrative functions. They will be responsible for managing correspondence, maintaining records, scheduling appointments, and supporting management. The ideal candidate will have excellent communication skills, proficiency with office software, and the ability to multitask in a fast-paced environment. Flexibility and adaptability are crucial as they will work alongside different departments, assisting in various tasks and responding to any queries or issues that may arise.


Responsibilities

  • Organize and manage daily office operations to ensure efficiency.
  • Answer and direct phone calls to relevant staff members or departments.
  • Schedule appointments and meetings, ensuring all arrangements are in place.
  • Maintain comprehensive and accurate records of office activities and transactions.
  • Prepare and edit correspondence, reports, and presentations as required.
  • Support management with calendar management and routine administrative tasks.
  • Assist in office supply management and order necessary supplies as required.
  • Coordinate and handle travel arrangements and itineraries for staff members.
  • Process and manage incoming and outgoing mail and packages efficiently.
  • Conduct research and compile data to assist with decision-making processes.
  • Ensure that the office equipment is functional and arrange for repairs when needed.
  • Provide customer service and support to clients and staff with inquiries or issues.

Requirements

  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Strong organizational and time management skills are essential.
  • Excellent communication and interpersonal skills to work with various stakeholders.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • High school diploma or equivalent required; additional qualifications preferred.
