TurnKey Promotions is a boutique promotional marketing company based in Sydney, Australia, delivering branded merchandise to local and multinational corporate clients. Established in 2014 by Diana O'Cobhthaigh, TKP works with a select group of larger clients across banking, finance and insurance, manufacturing and engineering, and technology.
We are a small virtual team. We work closely, we support each other, and we understand that it's the team that gets things done, not the individual alone.

The Opportunity
This is not an entry-level role, and we're not looking for someone who needs to be walked through every step.
We're looking for an experienced production or account coordination professional who can take genuine ownership of a job from order through to delivery, someone who reads a schedule and sees the risk in it, who chases the supplier before the deadline slips, and who catches the error before it reaches the client.
You don't need to have worked in promotional products before. If you have, that's a real advantage and we'll recognise it. But we care more about how you think, how carefully you work and how much you're willing to own.
The successful candidate will work directly alongside the Managing Director, taking real weight off her plate. Over time, there is a clear path into account management and sales for someone who wants it.
We're prepared to pay properly for the right person.
What You'll Do
Production Management:
- Own the daily production report — know the status of every live job without being asked.
- Build client presentations, convert them to estimates, then to sales orders, re-checking stock at each stage.
- Call and email suppliers to confirm stock, current production leadtimes, freight costs and pricing where it isn't published online; place holds where stock is low so client approval can be secured.
- Raise accurate purchase orders with the correct client artwork files attached.
- Check supplier artwork proofs against the client order, upload approved artwork, and manage the client approval process through to sign-off.
- Enter supplier bills into our system and reconcile them against the purchase order issued.
- Track couriers daily, update the production report, and keep sales informed.
- Email clients with delivery updates and notify them early where jobs are running late.
- Raise invoices on delivery and hand to sales with delivery information.
- Prepare pre-production sample approval documentation on imported orders — without needing to be prompted.
- Find solutions when products go out of stock; source alternatives through our supply chain, and use our industry networks when a product proves hard to find.
- Liaise with our graphic designer to create or amend artwork files
- Order samples and maintain a record of samples sent to clients for return.
- Conduct cost comparisons across products and suppliers.
- Maintain client records, artwork folders, product data and supplier pricing — including bulk updates when a supplier changes their setup fees.
- Keep a complete record of all supplier correspondence against the relevant project.
- Save produced merchandise images to the project record and the client file.
- Update projects with accurate courier charges, including fuel surcharges, as bills arrive.
- Book couriers on the TKP account where supplier freight isn't used, and issue labels to suppliers or sales.
Warehousing
- Coordinate with the warehouse to ship and return client stock for events, staff and customers.
- Track shipped orders daily until delivery and maintain tracking records.
- Keep client stock reports current and issue them monthly.
- Raise manual invoices for Welcome Pack deliveries.
Client & Sales Support
- Attend the daily team meeting.
- Contact clients proactively about repeat orders twelve months on from the original order, and process those orders through to delivery.
- Contribute product ideas to client presentations — understanding the client's logo, brand and corporate personality, not just the brief.
- Create mock-ups to show clients how their logo will sit on a product
- Attend supplier meetings where required.
Reporting & Systems
- Produce monthly sales figures and financial reports, and maintain the financial year sales spreadsheet.
- Build annual account management plans for our Top 10 clients, supported by your own market research.
- Maintain a running list of email marketing topics.
- Document what you learn — write the procedure, keep it current, and help build out our systems and processes.
- Raise manual invoices for client purchases outside branded merchandise.
Your Career Path

Experience
What We're Looking For:
- Demonstrated experience in production coordination, account coordination, order management or customer service in a deadline-driven environment.
- Comfortable learning and working within a dedicated order management or project system, you'll be trained on ours, but you should be someone who picks systems up quickly and uses them properly.
- Experience in promotional products, print, apparel decoration or a related supply industry is a strong bonus, not a requirement.
- Intermediate Microsoft Office Suite skills, Outlook, Word, Excel, PowerPoint.
- Excellent written and verbal English, with strong phone presence.

The Package
- Base salary: ₱50,000 per month, with benefits on top.
- Working hours: Full Australian business hours (AEST, Sydney time), Monday to Friday. You'll be online alongside the Australian team, our suppliers and our clients — this matters, because much of the role involves picking up the phone during the Australian working day.
- Working arrangement: Fully remote, working from home, as part of an established virtual team.

Working With Us
You'll join a small, tight virtual team that meets daily and communicates by video and chat throughout the day. The role is both client-facing and internal , you'll deal directly with clients, suppliers, our warehouse and our graphic designer.
