E-commerce Operations Coordinator

Monthly Pay — ₱70,000 to ₱90,000

Working Hours — The CEO spends 8 months a year in Europe and 4 months a year in Dubai so that would be between a 14:00-16:00 start and 22:00-00:00 end Philippine Time, Monday to Friday

We are an international ecommerce company operating multiple consumer brands across the US and other markets, including Love Sew and Revolt Fitness.

Our businesses sell physical products directly to consumers, and we work with suppliers, warehouses, creators, and partners around the world. We are a fully remote team and are looking for someone highly capable to help run the day-to-day operations of the businesses.

We are hiring an E-commerce Operations Coordinator to help manage and improve the day-to-day operations of our ecommerce brands.

This is not a basic virtual assistant role. You will be responsible for solving real business problems, coordinating suppliers and warehouses, managing inventory, checking invoices and orders, following up with partners, and making sure important tasks actually get completed.

We are looking for someone who is extremely intelligent, organised, detail-oriented, and capable of figuring things out independently.

You should be comfortable being given a problem without being told exactly how to solve it. Before acting, you should be able to identify what information is missing, investigate the situation, and make a sensible decision.

• Manage inventory levels and help determine when and how much stock to reorder
• Decide how inventory should be allocated between different warehouses
• Communicate with suppliers regarding production, stock, shipping, and operational issues
• Review supplier, warehouse, freight, and shipping invoices for errors or inconsistencies
• Investigate unusual charges, duplicate transactions, incorrect quantities, and other operational problems
• Coordinate purchase orders and ensure products are ordered correctly and on time
• Monitor inbound shipments and follow up on delays
• Help manage product launches and ensure operational tasks are completed before launch
• Coordinate influencers and content creators, including product shipments and follow-ups
• Help organise and track new product and collection projects
• Maintain spreadsheets and operational trackers
• Identify problems before they become expensive
• Improve systems and processes to reduce repetitive work and mistakes
• Handle miscellaneous ecommerce operations tasks as they arise

• Excellent logical reasoning and problem-solving ability
• Very strong attention to detail
• Strong numerical ability and confidence working with spreadsheets
• Excellent written and spoken English
• Able to investigate problems independently rather than immediately asking what to do
• Comfortable making decisions using incomplete or messy information
• Highly organised and able to manage multiple priorities at the same time
• Reliable and able to follow tasks through to completion
• Comfortable working with suppliers, warehouses, customers, and external partners
• Able to work independently in a fully remote environment
• Available to work the required Philippine working hours

• Experience working in ecommerce operations
• Experience with Shopify
• Experience managing inventory or purchase orders
• Experience working with 3PL warehouses or fulfilment companies
• Experience reviewing invoices or shipping costs
• Experience communicating with overseas suppliers
• Strong Excel or Google Sheets skills
• Experience with tools such as Slack, Notion, ClickUp, Asana, or similar platforms
• Experience working for a US, UK, European, or international ecommerce company
