Job Description

As a Document Controller, you will play a crucial role in managing an organization's documents and ensuring they are easily accessible and properly organized. Your attention to detail and organizational skills will help maintain the integrity and consistency of critical data, facilitating seamless operations across all departments. You'll be responsible for developing document control policies, procedures, and standards, and ensuring adherence to regulatory and company standards. This role requires effective communication skills to collaborate with team members, management, and external stakeholders. You will work in a dynamic environment where accuracy is paramount, taking responsibility for labeling, cataloging, and archiving documents, as well as monitoring document lifecycle from creation through to disposal.


Responsibilities

  • Develop and implement document control processes, procedures, and standards.
  • Ensure compliance with company and legal requirements for document management.
  • Maintain an organized system for document storage and retrieval.
  • Coordinate and manage electronic document management systems (EDMS).
  • Train staff on document control processes and systems as necessary.
  • Review and approve documents before they are filed and stored.
  • Monitor document life-cycle, maintaining document version control and history.
  • Respond promptly to requests for documentation information or assistance.
  • Audit and report discrepancies in documentation and rectify errors.
  • Manage access rights and user permissions to sensitive documents.
  • Work collaboratively with other departments to facilitate document sharing.
  • Ensure secure handling and disposal of confidential documents.

Requirements

  • Bachelor's degree in Information Management, Administration, or related field.
  • Proven experience in document control, archiving, or records management.
  • Familiarity with electronic document management systems (EDMS) is essential.
  • Excellent organizational skills and a keen attention to detail required.
  • Proficient in Microsoft Office Suite and database management software.
  • Strong communication skills for effective interaction with stakeholders.
  • Ability to handle sensitive information with discretion and integrity.
