We’re hiring a Document Control Specialist to support our client’s healthcare data platform that helps hospitals, distributors, and manufacturers access accurate, reliable documentation for critical medical products. This role is essential in ensuring data integrity, delivering excellent customer service, and maintaining the quality of information that healthcare facilities rely on every day.

Role Summary

As a Document Control Specialist, you’ll manage the end-to-end flow of documentation from collecting and validating product information to maintaining accuracy in our client’s database used by hospitals worldwide. The role focuses on acquiring, validating, and entering manufacturer documentation such as Instructions for Use (IFUs), Safety Data Sheets (SDS), service manuals, and maintenance guides. This requires strong critical thinking, exceptional attention to detail, and the ability to work with technical medical device documentation. Your work directly supports hospital safety, regulatory compliance, and infection control, ensuring healthcare facilities have accurate, reliable information they can trust.

Key Responsibilities

  • Conduct research to verify product information and documentation accuracy.
  • Accurately input, update, and validate data in online databases to ensure consistency and data integrity.
  • Collaborate with database team members and managers to maintain workflow efficiency and uphold quality standards.
  • Build and maintain strong relationships with manufacturers, distributors, and healthcare facilities to obtain required documentation.
  • Respond promptly and effectively to customer inquiries, delivering excellent support and service.

Must-Have Qualifications

  • 3-5 years of previous experience working in a healthcare technician role (e.g., pharmacy technician, surgical technician, dental technician, lab technician, etc.).
  • Strong attention to detail with a proven track record of accuracy in data-related work.
  • Excellent communication skills with the ability to interact effectively with both internal teams and external partners.
  • Strong time management, organizational skills, and problem-solving abilities.
  • Ability to work both independently and collaboratively within a team.

Nice-to-Have Skills

  • Experience with documentation platforms or healthcare compliance tools.
  • Familiarity with data validation processes.
  • Background in customer support or client-facing roles.
  • Ability to manage multiple tasks in a fast-paced, remote environment.

Reporting Line & Working Pattern

  • Reports to: Documentation Manager or Database Team Lead
  • Fully remote role with collaboration across global teams.
  • Requires responsiveness to customer inquiries and quick turnaround on document requests.
