Job title: Admin Assistant

Type of employment: Full-time

Shift Schedule: 8:30AM-4:30 PM EST M-F


We are seeking a highly organized and detail-oriented Administrative Assistant to support day-to-day operational, database, and light marketing tasks.


The person in this role will assist with database management, invoice reconciliation, order entry, and product commercialization tasks, contributing directly to the smooth operation of the team and supporting the head of sales and material supply manager.

Objective of this role:

  • To provide reliable administrative, database, and marketing support that ensures smooth operations, accurate records, and consistent customer engagement.


Responsibilities:

  • Enter orders, invoices, and product data into databases and ERP systems (e.g., FileMaker, Xtupile).
  • Reconcile invoices and assist with minor financial tasks.
  • Complete new product forms and assist in commercialization efforts.
  • Maintain accurate records of sales and product information.
  • Coordinate with the head of sales on various retail portals (e.g., Target) and reporting tasks.
  • Assist the material supply manager in administrative duties.


Required skills and qualifications:

  • Proficiency in FileMaker, Excel, and ERP systems (training provided as needed).
  • Strong organizational and data entry skills.
  • Detail-oriented and accurate in completing forms and database entries.
  • Ability to learn commercial processes and follow instructions.
  • Comfortable working independently and supporting multiple tasks.


Preferred skills and qualifications

  • Previous experience in administrative support or operations.
  • Familiarity with retail portals and commercial product management.
  • Basic understanding of financial processes (invoicing, reconciliation).
  • Strong communication and teamwork skills.
