Job Description

As a Front Desk Receptionist, you will be the first point of contact for our company. Our ideal candidate has a pleasant personality and embodies the capability to manage administrative duties with efficiency and organization. The main responsibility of the Front Desk Receptionist is to ensure all guests and clients are welcomed warmly and directed appropriately. This role is crucial in maintaining the professional image of our company and involves handling inquiries, coordinating appointments, and managing communication effectively. You must also exhibit a proactive approach to resolving issues, providing information, and managing everyday business operations smoothly. We are looking for someone who is reliable, friendly, and possesses great attention to detail.


Responsibilities

  • Greet clients and visitors warmly and answer their inquiries professionally.
  • Manage inbound and outbound phone calls with exemplary customer service skills.
  • Coordinate and schedule appointments; ensure appointments are timely and organized.
  • Maintain the reception area and all common areas in a clean and tidy manner.
  • Sort and distribute incoming mail and prepare outgoing mail as needed.
  • Assist with the management of office supply inventory; reorder supplies when low.
  • Provide administrative support to various departments as needed and directed.
  • Handle confidential information with integrity and discretion at all times.
  • Serve refreshments to clients and visitors when meetings are held on the premises.
  • Maintain an updated directory of contacts, ensuring easy access and accuracy.
  • Use office machinery including photocopiers, scanners, and computers effectively.
  • Ensure compliance with company policies and procedures in all communications.

Requirements

  • High school diploma or equivalent educational qualification required.
  • Proven experience in a front desk role or similar customer service position.
  • Strong organizational skills and excellent time management abilities.
  • Exceptional communication skills, both verbal and written, are required.
  • Proficiency in MS Office Suite and ability to learn new software quickly.
  • Ability to handle a multi-line phone system competently and professionally.
  • Must possess a positive attitude and professional appearance at all times.
