Job Description

A receptionist is a vital member of an organization, serving as the first point of contact for clients, customers, and visitors. Responsibilities

  • Greet and welcome visitors and clients in a courteous manner.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Maintain the reception area, ensuring it is tidy and presentable.
  • Coordinate appointments and manage scheduling for meetings and conferences.
  • Receive and distribute daily mail and deliveries efficiently and accurately.
  • Provide basic and accurate information concerning the organization to inquiries.
  • Assist in the ordering and maintaining inventory of office supplies.
  • Coordinate with various departments to facilitate smooth office operations.
  • Monitor visitor access and update visitor logs as required.
  • Handle customer complaints or direct them to appropriate staff effectively.
  • Perform general clerical duties such as photocopying, filing, and faxing.
  • Support managers and staff with administrative tasks as necessary.

Requirements

  • Proven work experience as a receptionist, front desk agent, or similar role.
  • Proficiency in Microsoft Office Suite and basic computer skills required.
  • Strong communication and interpersonal skills are essential for this role.
  • Excellent organizational skills with the ability to multitask efficiently.
  • Customer-service orientation and maintaining a professional appearance required.
  • Attention to detail and problem-solving skills are a must-have.
  • High school diploma or equivalent; additional qualifications are a plus.
