The Front Office Executive plays a pivotal role in welcoming guests and clients to the organization with exceptional professionalism and warmth. Responsibilities

  • Greet and assist all visitors and guests with a welcoming attitude.
  • Manage all incoming phone calls with professionalism and efficiency.
  • Offer guidance and information to visitors and clients promptly.
  • Schedule and coordinate meetings, appointments, and conference rooms.
  • Maintain and update records of important details and inquiries accurately.
  • Oversee the reception area to ensure it stays clean and organized.
  • Handle basic clerical tasks including filing, copying, and data entry.
  • Collaborate with different departments to facilitate smooth operations.
  • Assist in the preparation and organization of company events and meetings.
  • Ensure knowledge of staff movements in and out of the organization.
  • Manage inventory of office supplies and place orders when necessary.
  • Foster an atmosphere of teamwork and mutual respect at all times.

Requirements

  • A high school diploma or equivalent is required for this role.
  • Proven experience in a receptionist or customer service position.
  • Excellent verbal and written communication skills are mandatory.
  • Proficiency in Microsoft Office Suite and basic computer skills needed.
  • Strong organizational skills with an ability to handle multitasking.
  • A warm, welcoming attitude and strong interpersonal skills are required.
  • Able to handle pressure and diffuse difficult situations gracefully.
