A Billing Assistant plays a vital role in the financial management of an organization by ensuring that all billing operations are executed seamlessly and accurately. This position requires a meticulous individual who can manage financial data, prepare invoices, handle customer inquiries, and support the financial department with various clerical tasks. The ideal candidate will have a knack for numbers, excellent organizational skills, and the ability to handle confidential information with utmost professionalism. A Billing Assistant works closely with the accounting team to ensure that all transactions are recorded accurately and in a timely manner, thereby safeguarding the financial health of the company. This role is crucial for maintaining the integrity of the company’s financial operations and providing exceptional service to customers regarding their billing questions and concerns.


Responsibilities

  • Prepare and send out accurate and timely invoices to customers.
  • Maintain records of all payment transactions and invoice details.
  • Assist in the reconciliation of billing discrepancies and resolve issues promptly.
  • Process and post payments to the appropriate accounts within the system.
  • Respond to billing inquiries from customers and provide necessary support.
  • Coordinate with the accounts receivable department to track outstanding payments.
  • Collaborate with team members to ensure billing accuracy and efficiency.
  • Generate regular billing reports for management review and audits.
  • Assist in the preparation of financial documents and presentations.
  • Ensure compliance with legal obligations and company policies in all billing activities.
  • Support the finance department in various administrative tasks as needed.
  • Participate in continuous improvement processes to enhance billing operations.

Requirements

  • High school diploma or equivalent; additional accounting education is a plus.
  • Proven experience as a Billing Assistant or in a similar financial role.
  • Proficiency in using accounting software and Microsoft Office Suite.
  • Strong attention to detail and capability to handle sensitive financial data.
  • Excellent organizational and time-management skills to manage multiple tasks.
  • Good communication skills, both verbal and written, for effective customer interaction.
  • Ability to work independently and collaboratively in a team environment.
