Job Description

As a Personal Assistant, you will provide comprehensive administrative and personal support to a senior executive. This role demands a highly organized and proactive professional who can handle multiple tasks and projects simultaneously while maintaining a high level of professionalism and discretion. You will act as a gatekeeper and a confidant, ensuring the executive’s day-to-day operations run smoothly. Tasks include scheduling meetings, managing correspondence, and coordinating travel arrangements. Your ability to adapt to a fast-paced environment and handle confidential information with integrity is crucial. The ideal candidate will exhibit excellent written and verbal communication skills, and have a strong aptitude for using technology to streamline processes.


Responsibilities

  • Manage and maintain the executive’s schedule with precision and foresight.
  • Coordinate travel arrangements, including booking flights, hotels, and transfers.
  • Filter and prioritize incoming communication for the executive’s attention.
  • Prepare and edit documents, reports, and presentations as required.
  • Conduct research and compile data to assist the executive’s decision-making.
  • Organize and attend meetings to take detailed notes and action points.
  • Handle confidential information with absolute discretion and security.
  • Develop and maintain an efficient filing system for easy access to information.
  • Manage projects and tasks to ensure timely completion and quality outcomes.
  • Serve as a liaison between the executive and internal/external stakeholders.
  • Prepare expense reports and manage financial transactions accurately.
  • Assist in personal tasks, such as scheduling personal appointments and errands.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as a Personal or Executive Assistant in a corporate setting.
  • Excellent organizational skills and ability to manage multiple priorities.
  • Strong communication skills, both written and verbal, with attention to detail.
  • Proficiency in Microsoft Office Suite and familiarity with other productivity tools.
  • Ability to maintain a high level of confidentiality and demonstrate discretion.
  • Flexibility to work adaptable hours and travel when necessary.
