Job Description

The Payroll Operations Associate plays a crucial role in ensuring the smooth and efficient processing of payroll operations within an organization. This role is pivotal in maintaining employee satisfaction by ensuring accurate and timely payment of wages. The Payroll Operations Associate will collaborate closely with various departments to gather necessary data, verify information, and process payroll in compliance with relevant laws and guidelines. The ideal candidate for this role will possess strong analytical skills, exceptional attention to detail, and the ability to manage multiple tasks in a deadline-driven environment. They will also be responsible for maintaining confidential and sensitive payroll-related information, providing excellent customer service to employees with payroll inquiries, and continuously seeking to improve payroll processes.


Responsibilities

  • Process bi-weekly and monthly payroll accurately for all employees.
  • Ensure compliance with federal, state, and local payroll regulations.
  • Maintain and update payroll information by collecting, calculating, and entering data.
  • Resolve payroll discrepancies by collecting and analyzing information effectively.
  • Coordinate with HR to obtain new hire and termination data for payroll purposes.
  • Prepare payroll reports and summaries for management review and analysis.
  • Respond to employee inquiries related to payroll, deductions, and benefits promptly.
  • Work closely with the finance team for budget planning and payroll costs analysis.
  • Maintain confidentiality of sensitive payroll and employee information at all times.
  • Assist in auditing internal payroll procedures and suggest process improvements.
  • Conduct regular reconciliation of payroll accounts to ensure accuracy and compliance.
  • Support with year-end processes, including the preparation of W-2s and tax submissions.

Requirements

  • Minimum of a Bachelor's degree in Finance, Accounting, or related field.
  • Proven experience in a payroll processing role within a corporate environment.
  • Strong knowledge of federal and state payroll laws and regulations.
  • Excellent proficiency in payroll software and Microsoft Office Suite.
  • Exceptional attention to detail and ability to handle complex calculations.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Outstanding communication skills to interact with employees and management.
  • Ability to maintain confidentiality and integrity of payroll data.
  • Demonstrated problem-solving skills and ability to make data-driven decisions.
