As a Front Office Receptionist, you are the face of our organization, playing a vital role in ensuring smooth operations and providing exceptional service to our clients and guests. You will be responsible for managing front desk duties, handling communications, and assisting with a variety of administrative tasks. Responsibilities

  • Welcome and greet visitors professionally, offering them a friendly and courteous reception.
  • Answer and direct phone calls promptly while maintaining excellent telephone etiquette.
  • Manage the daily schedule and appointments to optimize time management efficiently.
  • Maintain the cleanliness and organization of the front office area at all times.
  • Provide accurate information to clients and colleagues regarding company services.
  • Handle incoming and outgoing mail, packages, and deliveries promptly and correctly.
  • Assist in administrative tasks such as filing, photocopying, and document preparation.
  • Coordinate with other departments to ensure smooth communication and teamwork.
  • Maintain and update records, database, and office logs for accurate data management.
  • Monitor security by controlling access through the reception desk as appropriate.
  • Assist with event planning and coordination for office functions as required.
  • Address customer inquiries and resolve complaints with professionalism and tact.

Requirements

  • High school diploma or equivalent; additional qualifications is a plus.
  • Proven experience as a receptionist or in a similar administrative role.
  • Proficiency in Microsoft Office Suite or similar software applications is required.
  • Strong verbal and written communication skills with a professional demeanor.
  • Excellent organizational skills with the ability to multitask efficiently and effectively.
  • Customer service orientation with an emphasis on confidentiality and discretion.
  • Knowledge of office management and basic bookkeeping techniques is advantageous.
