Job Description

As a Front Office Executive, you will be the first point of contact for our company, providing administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner. You should have a polite and approachable demeanor, excellent communication skills, and the ability to multitask in a fast-paced environment. Your role will also include maintaining office security by following security procedures and controlling access via the reception desk. Responsibilities

  • Manage the reception area to ensure effective telephone and mail communications both internally and externally.
  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office swiftly.
  • Receive, sort, and distribute daily mail/deliveries in a timely fashion.
  • Answer, screen, and forward incoming phone calls politely and efficiently.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material in place.
  • Compile daily reports and provide administrative assistance to various departments as needed.
  • Book meeting rooms, arrange conference calls, and manage agendas of senior management.
  • Provide basic and accurate information in-person and via phone/email as requested.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Keep updated records of office expenses and costs, ensuring budget adherence.
  • Monitor office supplies inventory and place orders when necessary.

Requirements

  • Proven work experience as a Front Office Executive, Receptionist, or similar role.
  • Professional attitude and appearance with a customer-oriented approach.
  • Excellent organizational and multitasking skills, with an ability to prioritize work.
  • Proficiency in Microsoft Office Suite, handling emails, and calendar management.
  • Solid written and verbal communication skills, fluent in English.
  • Experience with office equipment, such as printers and fax machines, is preferred.
  • High school diploma; additional qualifications will be a plus.
